eScholarship@UMassChan Repository Staff Support Guide: Submission workflow and instructions for all collections

Workflow for active collections

Items were ingested into eScholarship@UMassChan via a couple of methods:

  1. Mediated self-submission: Some collections allow UMass Chan-affiliated faculty, staff and students to upload materials directly. All submissions were reviewed and approved by the IR Manager before they were posted publicly.
  2. Harvesting by library staff: IR Manager maintained PubMed search alerts for active collections. Search alert results were used to generate spreadsheets for the IR Library Assistant to upload content to these collections.

The Microsoft Word or Excel versions of documents listed on this page are stored in Teams: RSCS > General > eScholarship Contracts and Documents > Open Repository

All documentation was reviewed in December 2024 following the upgrade to Open Repository 7.

Identifying UMass Chan publications

These procedures are used by library staff to identify and organize recent UMass Chan publications that can be added to eScholarship.

CAPES repository submission Instructions

Instructions for how to how to submit individual submissions into the Center for Accelerating Practices to End Suicide (CAPES) collection.

Submitter: Alexandra Boland, CAPES

Robert Aframe may also submit items to this collection which are identified in the PubMed search alert for the CAPES grant.

Deposit individual submissions into eScholarship

This process explains how RSCS staff deposit individual submissions into eScholarship@UMassChan. For items that have a PubMed ID or DOI, the instructions explain how to import metadata from external sources to populate the submission form.  

iSPARC repository submission instructions

Instructions for how to how to submit individual submissions into the iSPARC collections:

Submitter: Dee Logan, iSPARC

Dee also has permission to edit the metadata and files of published items.

Dissertation publishing

These instructions explain how to process new submissions and register DOIs for Morningside Graduate School of Biomedical Sciences Dissertations and Theses and Tan Chingfen Graduate School of Nursing Dissertations submitted by students into eScholarship@UMassChan.

Thumbnails

I just published a full text document to the repository. Why is there "no thumbnail available"?

Thumbnails do not appear immediately. They are generated automatically during a overnight repository process. Only items with full text files generate a thumbnail; metadata-only items and embargoed items do not.
